How a prepared action works

Nothing happens to your stock or your suppliers without a person saying so. The steps below are the whole mechanism.

1. It notices

A product is short: customers are waiting, stock is below target, and what is already on order will not cover it.

2. It checks the facts

On hand, reserved, backordered, incoming, your target level, and the supplier's minimum order and case size.

3. It prepares an action

A specific proposal: this many units, from this supplier, for this location — with the working shown.

4. You decide

Approve or reject. Only someone with purchasing permission can approve, and there is no automatic approval.

5. It creates a draft order

Approval creates an ordinary draft purchase order, exactly as if you had typed it. Nothing is sent to the supplier.

6. It re-checks first

If stock or demand moved while the action was waiting, MerchantPlay refuses it and asks for a fresh review.

The figures are the product. The wording is not.

Every quantity, supplier and cost in a prepared action is calculated by MerchantPlay from your own records. AI is used to explain the situation in plain English — and if it ever states a number that is not in the evidence, that wording is discarded and the plain explanation is shown instead.
